Most Malaysian owners set up a Business Profile once, the week they open, then never touch it again. It sits there with a category chosen in thirty seconds, four photos from 2021, and hours that stopped being true years ago.
That profile is the largest free asset a local business has on Google, and it carries more rules than owners expect. This guide stays inside the profile, field by field. The wider job of citations and location pages sits in our guide to local SEO for Malaysian businesses.
Every rule below is checked against Google’s documentation. Google keeps moving profile editing around inside Search and Maps, so where a label may have moved, I say so.
Claiming and verifying, including the postcard that never arrives
Search your business name in Google Maps first. Many Malaysian businesses already have an auto-generated listing, and claiming it beats creating a duplicate. You also do not choose how you verify: Google states that “verification methods are automatically determined by Google and can’t be changed.” Most now get video.
- Prepare before recording. Google requires “an unedited, unique, and complete recording with no breaks”, “at least 30 seconds long”, filmed on a phone.
- Show location first. Google asks for “street signs, building numbers, nearby businesses, or familiar places”, then your signage.
- Prove you manage it. Google’s wording: “record things only an employee can access, like opening a cash register, kitchen, storage room, or using a point-of-sale system.” Rejected videos skip this.
- Show the trade, then wait. Equipment, stock, your SSM certificate. Google says review “can take up to 5 business days.”
Postcards are the frustrating path. Google says “most codes arrive within 14 days” and codes “expire after 30 days”. If nothing comes, the instruction that catches people is this: “Do not request a new code. If you do, we invalidate the code in the mail.”
The primary category decides more than any other field you fill
If you change one thing this week, change this. The primary category tells Google which searches you are eligible for at all. A dessert cafe filed as “Restaurant” competes with every restaurant in town and wins no dessert searches.
Google gives an actual test: “select categories that complete the statement: ‘This business IS a’ rather than ‘this business HAS a’.” A tuition centre that also sells stationery is a tuition centre.

On how many to add, Google asks you to “choose the fewest number of categories it takes to describe your overall core business”. The public guidelines publish no hard maximum, so treat any number you read elsewhere as an interface limit that can move.
Set it, then leave it for a month before judging. Switching repeatedly resets whatever signal was accumulating.
Address, pin and service areas are three separate decisions
Malaysian addresses carry more variants than most countries, and each variant creates a separate record somewhere.
- Jalan or Jln. Pick one, never mix. Full spelling is safer, because that is how customers type it.
- Taman, Tmn, Bandar, Bdr, Kampung, Kg. Same rule, full words everywhere.
- Unit numbering. “Lot 5-2” and “No. 5, Tingkat 2” are one unit reading as two.
- Seksyen versus Section. PJ and Shah Alam circulate both, as do “SS15/4” and “SS 15/4”.
- Postcode. One wrong digit drops your pin into the next district.
The pin is separate from the text. Check the marker sits at your door, not mid-block, and drag it if not.
Plumbers, mobile detailers and home bakers face a different question, and Google’s answer is unambiguous: “if you don’t serve customers at your business address, remove your address from your Business Profile.” Google allows “up to 20 service areas” and says “the boundaries of your overall area shouldn’t be more than about 2 hours of driving time from where your business is based.” That covers the Klang Valley from KL, not Penang, and claiming otherwise will not make you rank there.
Write the final address once in a shared document and paste it into every platform, including your website.
Hours, Ramadan and the six-day rule most owners hit
Wrong hours convert a search into a complaint. Someone drives over, finds the shutter down, and leaves a one-star review.
Regular hours sit under Edit profile, then Hours. Google also offers More hours for “specific services with different times such as senior hours, or delivery and takeout hours”.
Special hours handle exceptions, with a limit worth knowing. Google says to use them “if your business temporarily adjusts its hours of operation or remains closed for up to 6 days in a row”, and that for “7 or more days in a row” you “should mark your business as Temporarily closed.”
That rule bites during Ramadan. A month of shifted hours is not a special-hours case. Change your regular hours for the fasting month, revert after Raya, and use special hours only for days you are shut.
Public holidays vary by state, so Selangor and Johor branches need different entries. Google recommends confirming them anyway: “it’s a good idea to confirm your hours for official holidays, even if they’re the same as your regular hours.”
Photos, Products and Services earn their place differently
Photos are the part owners overwork and underplan. Google’s specifications are modest: JPG or PNG, “between 10 KB and 5 MB”, recommended resolution “720 px tall, 720 px wide”. The quality rule matters more: a photo should have “no significant alterations or excessive use of filters” because “the image should represent reality.”
The shots that get used are practical ones. Exterior from the road at eye level, because that is what a customer matches against on arrival. Interior wide shot, the counter, staff at work.
Services is the underused field. Google says that when someone searches for an offering you provide, “that service may be highlighted on your profile”, and that in the Maps app “customers can view your full menu under ‘Services’.” List each service as its own entry. Google restricts custom names: “avoid including profanity, gibberish, personal information, prices, or phone numbers in custom service names.”
Products suits retail and fixed price lists, each item carrying a photo, price and link. For a service business, Products is optional and Services is not.
Posts are worth ten minutes a week, messaging is not what it was
Posts appear under Updates, Offers and Events. Google archives them: “posts older than 6 months are archived unless a date range is set.” They are not a ranking lever, and any agency selling weekly posts as an SEO service is overstating it. They still earn ten minutes, because a post is the only fresh copy you control on the profile.
Messaging is where old guides mislead. Google shut the built-in chat down: “as of July 31, 2024, the chat and call history features are no longer available in your Business Profile.” Any tutorial telling you to answer messages in the app is outdated.
What replaced it suits Malaysia better. Google says “businesses with a claimed and verified Business Profile can add a WhatsApp or text messaging option to their contact info”, though these “are currently available for select regions”. Add both and “only the text message option will be shown”, so WhatsApp alone is usually the right call for enquiries you can track.
The public Questions and answers section was widely reported retired in late 2025. Google published no help page announcing it, so treat that as reported rather than quoted, and move common questions into Services descriptions.
Reviews are the one input you cannot buy your way through
Reviews feed prominence, the factor with the most room to move. Volume and recency both count, which is why a shop collecting a few every month out-ranks one that collected forty in 2023.
The temptation is to speed it up with a voucher. Google’s policy removes “content that has been posted due to an incentive offered by a business – such as payment, discounts, free goods and/or services”, and separately “content that is based on a conflict of interest”, which covers current and former employees. The RM10 voucher and the staff group chat both cross that line.
What actually works
- Ask at the moment the customer is relieved, not at the invoice.
- Use your profile’s review short link as a QR code at the counter and a line in your WhatsApp follow-up.
- Ask everyone. Screening for happy customers first is review gating and breaks policy.
- Reply to every review inside 48 hours, one-star included.
Bad reviews deserve more attention than good ones. Reply in public with the specific fix and an invitation to continue privately, then stop. Every future customer reads that thread.
The Performance tab tells you which searches actually found you
Performance is where the profile stops being guesswork. The report Google calls searches is “the search terms people used to find your business”, the closest thing a local business has to free keyword data.
Read it for surprises rather than totals. Owners routinely find they are being found for a service they treat as secondary, for a competitor’s brand name, or for a Malay phrasing they never wrote down. Those terms belong in your Services list.
The other metrics are actions: calls, “how many people asked for directions to your business”, website clicks and bookings. Directions requests are the most honest walk-in proxy you have.
One timing quirk trips people up. Google notes that “the searches metric is updated at the start of each month” and “it might take up to 5 days to show up”, so checking mid-month and concluding nothing is happening is a mistake. Compare month to month, and year on year. If the report is already full of your core service, the constraint sits elsewhere, usually your website or your wider SEO budget.
What gets a profile suspended, and how reinstatement actually goes
Google’s position is short: “we may suspend or disable Business Profiles that don’t follow our guidelines.” The triggers repeat. Keywords stuffed into the name. A virtual office address. A residential address left visible for a service-area business. Multiple profiles for one location. Editing name, address and category in one week, which reads as a takeover.
- Fix the problem first. The notice names a policy. Appealing without changing anything usually fails.
- Have evidence ready first. Google warns that “once you open the evidence form, you must submit it within 60 minutes or it won’t be attached to your appeal.” Scan your SSM registration, licence and a utility bill.
- Wait. Google says decisions “can take up to 5 business days” and instructs “do not submit multiple appeals for the same issue before receiving a decision.”
- Do not rebuild. Google is explicit: “do not create a new Business Profile for the same business while your appeal is under review.”
Reinstated profiles usually return with reviews intact, though rankings take weeks to settle. That lag is the real cost. If the profile carries years of reviews, hand the appeal to someone who has done it before, which our SEO services cover.

Conclusion: the profile rewards accuracy, not cleverness
Nothing here is a trick. The profiles that win their catchment are the ones where the category is right, the address is written one way, the hours match the shutter, and every review gets an answer.
