The gap is rarely about quality. It is about what each of them assumed you wanted, and none of them asked.

The fourth row is where budgets break. A booking system that checks availability and sends reminders is development work, not design work, and priced as such. If a spreadsheet still runs that process acceptably, keep it another year.
What to scope before you ask anyone for a quote
A vendor who receives no scope will guess, and the guess protects the vendor. Spend an hour on this list and the quotes come back comparable.
- List the pages by name. Home, about, capability, products, sectors, certifications, contact. Page count is the biggest single driver of the number you get back.
- Write the quote form fields yourself. Material, quantity, delivery location, required date, drawing upload. The right fields remove two rounds of back and forth per enquiry.

Selangor prices sit inside the same national bands we use for the rest of Malaysia. A Selangor address does not automatically make a studio cheaper than a KL one, nor more expensive.
What moves you within a band is not page count alone. It is whether the design is custom or a customised template, how many integrations must be built, and how much content the vendor writes for you.
The recurring cost catches people out. Hosting and domain for an ordinary business site run RM300 to RM800 a year. Hosting at RM100 a year exists, and you feel it in load speed, which shows up in rankings and enquiries.

Being able to drive to your vendor matters more than it sounds for an industrial client. A studio that has walked your factory floor writes better capability copy than one working from an email thread. Against that, distance is solvable and competence is not. An agency that has built eleven supplier sites beats a studio down the road that has built two.
When a freelancer is genuinely the right call
Plenty of advice treats freelancers as the risky option by default. That is not our position. There are cases where a good freelancer is the right choice and paying agency rates is waste.
Take the freelancer route when the scope is small and stable: five pages, a contact form, no integrations, content you have already written. There is not enough work there to occupy a team, and you would mostly be paying for account management. The same applies when you need speed on a fixed deadline, like an exhibition or a tender. It also holds when somebody in your office can update WordPress and knows what a redirect is, because you do not need a maintenance retainer on top.
Go the other way when the site connects to another system, when more than three people will have opinions on the design, or when the site is the main channel bringing enquiries in. Continuity is what you buy at agency rates, and continuity is what one person cannot promise.
Local SEO changes when your catchment crosses into Kuala Lumpur
This is the part most Selangor businesses get wrong. Your registered address is in Shah Alam, but half your customers sit in Cheras, Sri Petaling and KL city centre. Google treats distance from the searcher as a ranking factor it will not let you override, so a Section 15 address will not win a search made in Bukit Bintang.
Two structural fixes help. If you have no walk-in shopfront, Google’s service-area guidance lets you hide the address and set service areas instead, up to 20 areas by city or postcode. That is the honest way to say your catchment is wider than your pin sits.
The second fix is on the website. Give the areas you genuinely serve their own pages with real differences on them, not a template with the town name swapped. A Klang page should mention the port, the industries around it and jobs you have done there. Twenty thin pages named after every town in the Klang Valley will not rank and may drag the site down.

What to check before you pay the deposit
Deposits here usually run between a third and half of the project value. Once paid, your bargaining position weakens, so do the checks first.
Before the transfer
- Domain, hosting and analytics registered in your company name, not the vendor’s. The most common trap.
- Payment split across milestones: design approval, development complete, launch.
- Revision rounds stated in writing. Two to three rounds at design stage is normal for an SME project.
- Who supplies content, spelled out, including who writes the service pages.
- After launch: how long support lasts, what a fix costs, who holds the logins.
- Two contactable past clients, ideally in a similar trade. Call them.
One more question separates vendors fast: what happens if we move to another provider in two years. One who answers plainly and offers to hand over files expects to keep you on merit. One who turns vague has built a lock-in nobody told you about.
Timeline, maintenance, and the months after launch
A five to ten page business site is normally a four to eight week job when the client returns content and feedback on time. Most delays sit on the client side, and the usual culprit is content nobody was told to write.

After launch the running cost is RM300 to RM800 a year for hosting and domain, plus whatever you arrange for updates. WordPress and plugin updates need doing, and doing them badly breaks sites. Put it in a retainer or assign it internally, but do not assume it happens by itself.
