The practical instruction is uncomfortable. If nobody watches WhatsApp after 6pm, stop running ads after 6pm and move the budget to hours when someone is awake.   3. Make a separate link for every source. One per ad set, one per printed flyer, one per article on your site.

A five touch follow up sequence that stays on the right side of spam

What separates follow up from spam is not message count. It is whether each message carries something new. Sending “Hi, any update?” four times is spam. Sending four pieces of information that help someone decide is not.

  1. Day 0, within the hour. Answer the question, give a price range, and ask the one thing you need to quote.
  2. Day 1. Send the full quote or your closest past example, and spell out what is included.
  3. Day 3. Send proof. Before and after photos, a testimonial from the same area, or an answer to your most common objection.
  4. Day 7. Give a true reason to act now: two slots left next week, or a price increase you already know about.
  5. Day 14. Close politely. “I will assume the timing is not right, so I am closing this off. Message me any time.”

After day 14, move the chat to Revisit next month and leave it alone. If someone asks you to stop, stop immediately, because spam reports degrade the quality rating on your number. The same discipline applies to every channel you use to generate leads, but WhatsApp punishes carelessness faster.

Handing a conversation between two people without dropping it

This is where the free app runs out. It supports up to four linked devices beside the main phone, so two people can share an inbox. What it lacks is any notion of who owns a chat. Everyone sees everything, and the result is two replies at once or none at all.

If you are staying on the app, run this protocol:

  1. One chat, one owner. Whoever replies first applies a label with their own name. Nobody else types in that thread.
  2. Hand over in writing. Before passing it on, post a three line summary in the staff group: who, what they want, next step.
  3. Switch the label at the same moment. Remove the old name, add the new one. If the label did not change, the handover did not happen.
  4. Check once a day. At 6pm someone opens the New enquiry label and confirms it is empty.

When this protocol fails more than once a week, that is your signal to move to the API with a shared team inbox. Not for the features, but because the value of lost enquiries now exceeds the cost of the software.

The catalogue is the fastest way to stop sending product photos one at a time. WhatsApp documentation puts the limits at 500 items, 10 photos per item, item names up to 100 characters and descriptions up to 500.

Use it for anything with a fixed price: service packages, finished products, class fees, delivery sets. For work that needs a site visit, the catalogue still helps as a starting price so nobody is shocked when the quote arrives.

The real benefit is not presentation. A catalogue removes three or four rounds of back and forth about price and specification, and every round removed is one fewer chance for someone to go quiet.
