- 2-4 hoursto plan a full month
- 20-30 postsacross 2-3 platforms
- 5-8 hourssaved every month
Most content calendars fail in month two. Month one feels good because you were excited. Then a supplier delay eats a Tuesday, a festive rush eats a week, and the calendar becomes a document nobody opens.
The fix is a smaller plan: fewer pillars, fewer platforms, batching hours blocked in your diary, and deliberate empty slots. Here is how to build one, with a worked example month and 2026 tool prices.
A content calendar decides what you post, not just when
A posting schedule says Monday at 8pm. A content calendar says Monday at 8pm, on Instagram, a customer testimonial reel, with this caption, pointing at the WhatsApp link in bio. The schedule stops you forgetting. The calendar stops you staring at Canva at 11pm.
Every row needs enough detail that someone else could execute it without messaging you first.
| Column | What goes in it | Why it matters |
|---|---|---|
| Date and time | Exact posting slot | Matches when your audience is awake |
| Platform | Instagram, Facebook, TikTok | Each needs its own tone and crop |
| Content pillar | Educational, promo, proof, community | Stops five promo posts in a row |
| Caption | Written in advance | Captions typed while uploading are weak |
| Goal or CTA | Comment, DM, click, save | A post with no ask cannot be measured |
Five columns is the floor. Add a status column if two people touch the calendar, and stop there, because anything more becomes admin you abandon by week three. How many rows you need is a separate question, covered in our guide on how often your business should post on social media in Malaysia.
Pick three or four content pillars and let the rest go
A content pillar is a recurring post type you can produce without a brainstorm. Standard advice says start with 4-5 pillars: educational, promotional, behind-the-scenes, social proof, community. That is the menu, not the order.
Carry the month on three or four. Three is enough for a solo owner, four if someone helps you. Five sounds thorough and becomes five half-baked formats, because each pillar carries its own production cost.
Test each candidate twice. Can I produce this every week without begging anyone? Has it earned engagement before? A no to either makes it a bonus format.
A workable four-pillar set
- Educational. One thing your customer keeps getting wrong. Cheap to make, ages well.
- Proof. Reviews, before-and-after, order screenshots. Best converting, hardest to source.
- Product or offer. What you sell and why now. Cap it so it does not swallow the month.
- Behind-the-scenes. Kitchen, workshop, team. Cheap to film, strong for trust, weak for sales.
Platform sets the weighting. Instagram at 4-5 posts a week: 40% educational, 30% product, 20% behind-the-scenes, 10% user content. Facebook at 3-4 a week: 40% community, 30% promo, 30% educational. TikTok at 5-7 a week: 60% trend, 25% educational, 15% product. Still choosing platforms? Our comparison of Instagram, TikTok and Facebook comes first.
A worked example month for a Petaling Jaya bakery
Here is a real shape. A small custom-cake bakery in PJ, strong on Instagram and TikTok, lighter on Facebook, planning November 2026. Deepavali falls on 8 November and 11.11 three days later, so it is a heavy month.
| Week | Anchor | Instagram (4-5) | TikTok (5-7) | Facebook (3-4) |
|---|---|---|---|---|
| 1-7 Nov | Deepavali build-up | 2 festive product, 1 educational, 1 proof, 1 team | 3 trend, 2 kitchen, 1 how-to | 1 cutoff, 1 review, 1 poll |
| 8-14 Nov | Deepavali, 11.11 | 1 greeting, 2 bundle, 1 proof, 1 open | 2 offer, 2 trend, 1 unboxing, 2 open | 2 offer, 1 greeting, 1 open |
| 15-21 Nov | Quiet week | 2 educational, 1 team, 1 proof | 3 educational, 2 trend, 1 team | 1 educational, 1 proof, 1 poll |
| 22-30 Nov | Dec pre-orders, 12.12 | 2 pre-order, 1 proof, 1 educational, 1 open | 2 pre-order, 2 trend, 1 team, 1 open | 2 pre-order, 1 review, 1 open |
Count the rows and you land inside 20-30 posts, with six slots blank on purpose. Watch the promo weight: heavy on the 8-14 Nov row, pulled back the week after. A flat promo drip trains people to scroll past you. Copy the shape, not the content.
Batching means four sessions, not one long Sunday
The 2-4 hour figure covers planning only, which is the part that fools people. Planning is one of four jobs, and the other three need their own diary blocks.
- Plan, 2-4 hours. Anchor dates, platform mix, pillar per week, then every caption in one sitting. Do it in the last week of the previous month.
- Shoot, 2-3 hours. One session, one setup, every angle you need for four weeks. Vertical video and stills together.
- Edit, 3-4 hours. The longest block and the most underestimated. Build three reusable templates in month one and this drops sharply.
- Schedule, 1-2 hours. Load everything, set the times, walk away. Uploading post by post through the week is the habit this kills.
The shoot, edit and schedule ranges are our own estimates, not published research. They move with team size and video volume.
Added up, a batched month runs roughly 8 to 13 hours. That sounds worse than daily posting until you count what daily costs: fifteen scattered minutes here, forty there, plus the days you skip. That is where the 5-8 hours a month of savings comes from.
Free and paid scheduling tools that make sense in Malaysia
You need somewhere to hold the plan and something to publish it. Google Sheets and Notion cover the first for free. Prices below were checked in August 2026 and bill in US dollars, so the ringgit amount moves with the rate.
| Tool | Cost | Best for | The catch |
|---|---|---|---|
| Meta Business Suite Planner | Free | Facebook and Instagram | No TikTok, bulk loading is slow |
| TikTok web scheduler | Free | Queuing TikTok ahead | Desktop browser only |
| Google Sheets or Notion | Free | Holding the calendar | Does not publish anything |
| Buffer | Free: 3 channels, 10 posts each. Essentials from USD 5 per channel monthly | Two or three platforms | Per-channel pricing adds up |
| Metricool | Free: 1 brand, 20 posts monthly. Starter from USD 25 monthly | Scheduling plus analytics | Free cap is below a 20-30 post month |
| Later | Starter from USD 18.75 monthly, billed yearly, 8 profiles | Visual grid planning | Needs annual commitment |
Our call for a typical SME: start on Meta Business Suite plus the TikTok scheduler, with the plan in Google Sheets. That costs nothing and carries a 20-30 post month. Pay for a tool only when tab switching costs you real time, or a second person needs approval rights.
Leave a fifth of your calendar deliberately empty
A calendar that fills every slot is one you will abandon the first time something interesting happens. Plan roughly 70-80% of your posting slots and leave 20-30% open for trends, viral audio, a customer story in your DMs, or news your industry is talking about that week.
Those slots are not padding. They are why the plan survives a real month. When fasting month shifts everyone’s ordering behaviour, you have somewhere to put the response without deleting planned work.
Horizon should differ by platform too. Lock Instagram 3-4 weeks ahead, since polished visuals take time. Do not lock TikTok. Fix the pillars and slots a month out, then leave the actual video topics open until 3-5 days before so you can still ride whatever audio is moving.
One habit makes this work: keep a running ideas list in the same document. Every good customer question goes on it. When an open slot arrives on Thursday and your head is empty, the list answers for you.
The Malaysian festive calendar is your planning anchor
Every Malaysian business has a demand curve shaped by festive season, and every year owners are surprised by dates fixed months ahead. Block these before you plan a single post. The lead time is the ramp, and the ramp is where the selling happens.
| Moment | Next date | Start posting | What the content does |
|---|---|---|---|
| Merdeka, Malaysia Day | 31 Aug, 16 Sep | 2 weeks before | Local pride, community over hard selling |
| Deepavali | 08/11/2026 | 4 weeks before | Gifting, packaging, cutoff reminders |
| 11.11 | 11 November | 3-4 weeks before | Flash bundles, marketplace tie-ins |
| 12.12 and Christmas | 12 Dec, 25 Dec | 3-4 weeks before | Year-end clearing, corporate gifting |
| Chinese New Year | 06/02/2027 | 6 weeks before | Hampers, reunion sets, pre-order windows |
| Hari Raya Aidilfitri | 10/03/2027 | From the start of Ramadan | Raya cookies, catering, open house |
Deepavali and Chinese New Year above are published Malaysian public holiday dates. Aidilfitri is the expected date, confirmed only on sighting, so treat the week either side as movable.
Two notes matter more than the dates. The cutoff post outperforms the promo post for anything made to order, so schedule at least two per festive run. And seasons overlap: Deepavali and 11.11 sit in one week, and Chinese New Year in February 2027 means Ramadan prep starts right after.
Handing the calendar to someone else has a known price
If those 8 to 13 hours are time you would rather spend on the business, outsourcing is fair. Malaysian agencies price social media management as a monthly retainer, and the tiers are consistent.
The full package tier covers planning, design, copywriting and scheduling across several channels. If you also want articles feeding your social posts, content marketing packages usually start at RM1,200-RM2,500 a month for 4 articles, RM2,500-RM6,000 for 8 articles, and RM6,000-RM12,000 for a full integrated programme.
Before signing, ask what is included. Some retainers cover the shoot, some assume you supply photos. Ask for a sample month with captions written, and see whether it reads like a plan or a list of dates. Our social media marketing service page sets out each tier, and if budget is tight, content marketing on a small budget covers the in-house route.
The monthly review is what keeps the calendar alive
Calendars die from neglect, not bad planning. The habit that prevents it takes thirty minutes at month end, before you plan the next one.
- Pull the numbers. Reach, saves, shares, profile clicks, DMs. Saves and shares say more about quality than likes.
- Sort by pillar, not by post. One viral post proves nothing. A pillar winning three months running is a signal.
- Cut the weakest pillar. If one of your four has been quiet for two months, give its slots to what is working.
- Check what you shipped. Planned 25 and published 17? The plan was too big. Cut the target before you cut quality.
Four failure patterns repeat. Scripting every caption word for word, leaving no room for anything timely. Never opening analytics. Posting without a clear ask. And rebuilding each post per platform instead of shooting once and cutting it three ways. Tying all of it back to money is a separate discipline, and our guide on measuring social media ROI covers that.

Frequently asked questions about content calendars
How many posts should be in a monthly content calendar?
Most Malaysian SMEs aim for 20-30 posts a month across 2-3 platforms. That is roughly 4-5 Instagram posts, 3-4 Facebook posts and 5-7 TikTok posts a week if you run all three. Start low, because hitting 20 every month beats planning 30 and publishing 17.
What free tools can I use to build a content calendar?
Google Sheets and Notion both hold the plan for free, tracking date, platform, pillar, caption and status in one view, and both share with an agency for approval. Meta Business Suite publishes to Facebook and Instagram at no cost, and TikTok has a free desktop scheduler.
How do I choose my content pillars?
Start from the standard 4-5 pillars: educational, promotional, behind-the-scenes, social proof and community. Narrow to three or four you can produce every week without chasing anyone. Ask whether you can make it reliably, and whether it has earned engagement. A no to either means bonus format, not pillar.
How far ahead should I plan Instagram versus TikTok content?
Plan Instagram 3-4 weeks ahead, since it relies on polished visuals that take time to produce. Keep TikTok looser. Fix the pillars and posting slots a month out, but leave the video topics open until 3-5 days before so you can still use trending audio.
Can I still post trending content if I have a calendar?
Yes, and the calendar should be built for it. Fill roughly 70-80% of your slots with planned content and leave 20-30% open for trends, viral audio, customer stories or timely news. Keep a running ideas list so those slots do not become skipped days.
Should I write captions in Bahasa Malaysia or English?
It depends on your audience. Many Malaysian SMEs mix both in one caption, using Bahasa Malaysia for the hook and English for the details, or the other way round. Check past post engagement to see which your followers respond to, then hold that choice.
How long does a monthly batching session actually take?
Planning and caption writing takes 2-4 hours. Add roughly 2-3 hours to shoot, 3-4 hours to edit and 1-2 hours to schedule, so a full batched month runs about 8 to 13 hours. Editing drops fastest once you build templates. The last three are our own estimates.
How much does professional social media management cost in Malaysia?
Expect RM800-RM1,500 a month for one platform, RM1,500-RM3,500 for 2-3 platforms, and RM3,500-RM7,000 for a full package covering planning, design, copywriting and scheduling. Confirm whether the photo and video shoot is included before signing, because that line explains most quote gaps.
What is the difference between a content calendar and a posting schedule?
A posting schedule tells you when to post. A content calendar tells you when, on which platform, which pillar, with what caption, and what you want the reader to do. The schedule stops you forgetting. The calendar stops you inventing content at 11pm.
Conclusion: build the plan smaller than you think you need
A month of social media takes 2-4 hours to plan and roughly 8 to 13 hours to produce, still less than the scattered daily version most owners live with. Three or four pillars, 20-30 posts, a fifth of the slots open, festive dates blocked first. The month-end review turns it into a habit.
If you would rather have the first month built for you, talk to the Lesgo Media team and we will map a 30-day calendar around your pillars and festive season.
